Connect an SMTP/IMAP mailbox (Gmail, Outlook, OVH…)

Updated on

Add the mailbox

  1. Open Mailboxes, then Connect mailbox.
  2. Pick the provider in Provider: servers, ports and security levels are filled in automatically.
  3. Fill in Name (internal label), Email address and optionally Sender name (the name recipients see).
  4. Enter the password. By default, IMAP reuses the SMTP username and password.
  5. Click Test connection, then Connect mailbox.

Credentials are encrypted (AES-256-GCM) before being stored.

Special cases

  • Gmail / Google Workspace: use an app password (Google account > Security > App passwords), not your regular password.
  • Microsoft 365 / Outlook.com: choose Microsoft 365 / Outlook.com and click Sign in with Microsoft (OAuth, no password stored). For work accounts, IMAP and Authenticated SMTP must be enabled for the mailbox (Microsoft 365 admin center > Users > Active users > Mail > Manage email apps).
  • Fastmail: use an app password.
  • Any other server: choose Other / custom server and enter the host, port and security (SSL/TLS on 465 and 993, STARTTLS on 587).

Send-only or receive-only

The Outgoing mail (SMTP) and Incoming mail (IMAP) sections are switched on separately. Turn IMAP off if you only send, or SMTP off if you only receive.

Receiving options

  • Folder to watch: the folder to monitor, INBOX by default.
  • Mark processed messages as read: marks emails as read once Smapiz has processed them.
  • Copy API-sent messages to the Sent folder: emails sent through the API also show up in your mail client’s “Sent” folder.

Monitor the mailbox

Each mailbox shows its sending status (Ready / Error) and receiving status (Listening, Connecting, Error).

  • Listening: the IMAP connection is open, new emails arrive within seconds.
  • Error: the error message is displayed under the mailbox (often a changed password). Fix it with the edit button.
  • The buttons let you reconnect IMAP, pause the mailbox or delete it (its stored messages are deleted too).

To get alerted when a connection drops, subscribe a webhook to the mailbox.error and mailbox.recovered events.
